Conflict of Interest Policy & Declaration

Our clients trust us and we trust each other.

We respect your outside hustle and personal ambitions, but when you are part of aipx, our clients come first. This policy ensures that personal, financial or outside professional interests do not interfere, or even appear to interfere, with your objective judgment and responsibilities to the agency.

1. What is a Conflict of Interest?

A conflict of interest occurs when your personal interests, relationships, or outside activities could compromise your loyalty, objectivity or performance at aipx. Common examples include:

  • Moonlighting and Freelancing: Taking on outside work that directly competes with aipx, poaches our clients or uses company time, software and resources.

  • Financial Interests: Owning a significant stake in a company that is a competitor, client, or supplier to aipx.

  • Personal Relationships: Hiring, managing or awarding company contracts to family members, romantic partners or close friends without prior disclosure.

  • Gifts and Hospitality: Accepting gifts or entertainment that could improperly influence business decisions. Any gift exceeding R500 in value must be formally declared and approved by the Executive Board.

2. The Rule: Declare It

Having a potential conflict of interest is not automatically a disciplinary offense, failing to declare it is. Transparency is the only way to protect yourself and the agency. All permanent employees, contractors and executive board members are required to complete this declaration:

  1. Annually, as part of our standard governance review.

  2. During Onboarding, for all new hires and contractors.

  3. Immediately, prior to any M&A activity, new vendor onboarding or if your personal circumstances change.

If you are unsure whether a situation constitutes a conflict, default to transparency and declare it.
